Efficiency Studio Work Diagnostic Case Studies Blog

Is your business becoming too much work?

“Why does everything still come back to me?”

“I’ve hired people, but I’m still doing everything.”

“We’re growing, but everything is getting harder.”

“I’m constantly checking, chasing and fixing things.”

“Why do things keep falling through the cracks?”

“I know something isn’t working. I just don’t know what.”

A business owner sitting on her flour dusted counter after closing, cup of tea in hand.

01 — DOES THIS SOUND FAMILIAR?

Does this sound familiar?

You start the day knowing you’ve got plenty to do.

Then the questions start.

Someone needs you to make a decision.

Someone else can’t find something.

A customer has a problem.

Something hasn’t been done.

You need to chase someone.

You spot something that needs fixing.

Before you know it, the day has gone.

And the things you actually wanted to work on haven’t happened.

You keep telling yourself you’ll get on top of it when things calm down.

But they never do.

Maybe you’ve hired people, but you’re still checking everything.

Maybe you’ve bought systems that were supposed to make life easier, but somehow you’ve ended up with more things to manage.

Maybe you’re growing, but instead of feeling more successful, you’re feeling more stretched.

Or maybe you simply know something isn’t working, but you can’t work out exactly what the problem is.

If that sounds familiar, the answer isn’t necessarily to work harder.

02 — THERE’S A REASON

There’s a reason your business feels this hard.

When you started your business, you probably had to do everything yourself.

You knew how things worked because you were the one doing them.

You made the decisions. You solved the problems. You knew where everything was.

And it worked.

Until the business grew.

More customers.

More work.

More people.

More systems.

More things to keep track of.

And somewhere along the way, you became the person holding it all together.

People come to you because you know the answer.

You check things because you know they’ll be right if you check them.

You fix things because it’s quicker than explaining how to fix them.

You keep doing things yourself because it’s easier than trying to get someone else to do them properly.

None of that means you’ve done anything wrong.

It means the business has changed.

And the way you used to run it may no longer be the way it needs to run.

Your business may not need more of you.

It may need a better way of working.

03 — LET’S FIX WHAT’S NOT WORKING

Let’s fix what’s not working.

We look at how your business actually works, find what’s creating the pressure, and help you put a better way of working in place.

01

Things keep falling through the cracks

Things get missed. Someone assumes someone else has done it. Information gets lost. Problems aren’t spotted until they become urgent.

We find where work is falling through the gaps and put clearer processes, responsibilities and checks around it.

02

You’re growing, but everything is getting harder

More customers and more work should feel like progress. Instead, everything seems to need more effort, more people and more of your time.

We help you build the structure your business needs to grow without simply creating more work for you.

03

Too much time is being spent on admin

Chasing, checking, copying information, answering the same questions and keeping systems up to date can quietly take over the working day.

We look at what’s creating the workload and find better ways of getting the work done, including where systems and automation can genuinely help.

04

Your processes aren’t working as they should

You may already have processes in place. But if people do things differently, information isn’t easy to find, or you keep having to step in when something goes wrong, the process isn’t doing what it needs to do.

We look at how work actually happens and help build practical processes that people can follow.

We don’t arrive with a solution and try to make your business fit it.

We start with your business, understand what’s happening and work out what needs to change.

The goal isn’t to make you better at running around after your business.

It’s to make the business need less running around.

04 — THE BIGGER YOUR BUSINESS GETS

The bigger your business gets, the more connected everything becomes.

As your business grows, the different parts of it become more connected.

What one person does affects someone else.

A change in one process can create problems somewhere else.

The systems you use affect how people work.

The way responsibilities are organised affects what gets missed.

And the things you measure — or don’t measure — affect the decisions you make.

That’s why we don’t just look at one problem in isolation.

We look at how the different parts of your business work together and where things could work better.

01

People

Does everyone know what they’re responsible for?

02

Processes

Does everyone know how things should be done?

03

Systems

Do your tools make work easier or harder?

04

Controls

Do you know when something hasn’t happened properly?

05

Performance

Can you see what’s working and what isn’t?

When these things work together, the business becomes easier to run.

Work has somewhere to go. People know what they’re responsible for. Information is easier to find. Problems can be spotted and dealt with.

And you have more freedom to focus on the things that really need you.

05 — WHAT CHANGES?

Imagine if your business gave you more freedom.

You know what needs to happen without having to remember it all yourself.

Your team knows what they’re responsible for.

People can find the information they need without everything having to come through you.

Things don’t disappear into someone’s inbox.

Problems are spotted before they become emergencies.

Your systems help rather than create more work.

You can take a day off without wondering what you’re going to come back to.

And perhaps most importantly, you have time to actually run your business again.

Not just keep it going.

Not just put out fires.

Run it. Grow it. Enjoy it.

You might want to grow.

You might want to make more money without working more hours.

You might want to take more time away.

You might want to spend more time with the people you care about.

You might simply want to finish work at a reasonable time and stop thinking about it.

Whatever more freedom means to you, your business should give you more choice over your time, not less.

You built the business. It should work for you too.

06 — REAL PROBLEMS. PRACTICAL SOLUTIONS.

Real problems. Practical solutions.

Every business is different. But the problems that make a business harder to run are often surprisingly familiar.

01

The numbers didn’t add up.

The problem

Multiple sources of booking and financial information made it difficult to see what should have happened, what actually happened and what needed investigating.

What we did

We designed a clearer reconciliation process, with defined financial rules, property and unit tracking, client money controls and a process for handling exceptions.

What changed

The business now has a repeatable way to reconcile its activity and identify what needs attention.

02

Someone had to keep watching everything.

The problem

Important guest messages, enquiries, maintenance issues and operational updates were coming through different channels. Someone needed to keep checking everything to make sure nothing important was missed.

What we did

We designed an exception-based monitoring approach that identifies what needs attention and alerts the right person, rather than requiring someone to manually monitor everything.

What changed

Routine activity can continue without constant manual checking, while important exceptions are brought to the attention of the right person.

03

Compliance was becoming another job.

The problem

Keeping track of requirements, training, inspections, certificates, policies and evidence was becoming increasingly difficult to manage alongside everything else.

What we did

We structured compliance around clear requirements, ownership, frequency, evidence, status and exception reporting.

What changed

Compliance becomes something that can be owned, monitored and reviewed rather than something that has to be remembered.

07 — SOMETHING ISN’T WORKING. BUT WHAT?

Something isn’t working. But what?

Sometimes you can see that something isn’t working without being able to pinpoint exactly why.

The business is taking too much of my time.

Things keep getting missed.

We’re growing and the way we’re working won’t cope.

Something isn’t working, but I can’t quite work out what it is.

Answer a few questions about how your business works and we’ll help you identify where your biggest operational problems may be.

Already know you need help?

Let’s talk about what’s happening in your business.

08 — FINAL CLOSE

You built something of your own.
You shouldn’t have to spend your life holding it together.

Your business should give you the freedom to run it, grow it and enjoy it.

See where your business could work better.
